Privacy Policy

Effective October 4, 2026

Gaming Datasets (“we,” “us”) runs the website at gamingdatasets.com. This policy explains what the website collects, why we collect it, who else can see it, and what you can ask us to do about it.

It covers the website only: the pages you browse, the waitlist form on /gamers, the application form at /apply, the contact form on /labs, and emails you send us. If we later work with you to record gameplay, the data that work involves — recordings, recording metadata, and payment details — is governed by the contract and instructions we send you at that time, not by this page.

Information We Collect

Information you give us

There are two forms for players, and both add you to the same list.

The waitlist form on /gamers asks for:

  • First name (required)
  • Email address (required)
  • Hours per week you play (optional)
  • Confirmation that you are 18 or older (required)

The application form at /apply asks for:

  • Name (required)
  • Email address (required)
  • Discord username (optional)
  • The types of games you play (optional)
  • Hours per week you can play (optional)
  • How long your typical play session is (optional)
  • Confirmation that you are 18 or older (required)
  • Whether you play on a Windows PC (optional)
  • Whether you can record at 1080p or higher, 30–60 fps, for an hour or more (optional)

Two things are stored that you do not type: a source tag showing which form you used, and the date and time it arrived. If you submit either form again with the same email address, we update your existing record instead of creating a second one.

The “Get in touch” form on /labs asks for your first and last name, work email, organization, what you are working on, where you heard about us, and an optional note. It also stores the date and time it arrived, any campaign tags in the link you followed (UTM parameters), the page that sent you if your browser shares it, and a one-way hash of your IP address made with a secret key, which we use only to stop repeated submissions. We use this to reply to you and to see which outreach reaches people. It is stored in our database on Cloudflare D1, and a copy is emailed to hello@gamingdatasets.com so we can answer quickly. We keep it while we are talking with you, plus ordinary business record-keeping. To have it deleted, email hello@gamingdatasets.com from the address you used; we act on deletion requests within 30 days. If you email us directly, we receive your email address and whatever you put in the message.

The collection specification builder on /guides/collection-specification/ creates a JSON download in your browser. The answers you enter in that builder are not submitted to us or saved by the site. If you later send a brief to us, it becomes part of that correspondence.

Information collected automatically

  • Server logs. Our hosting provider records standard request data: IP address, browser and device information (user agent), the page or file requested, the referring page, and timestamps. This applies to the website, to the form submission endpoint at waitlist.gamingdatasets.com, and to sample video served from clips.gamingdatasets.com. We do not store your IP address alongside your application.
  • Strictly necessary cookies. Our hosting provider may set cookies that are needed to deliver and protect the site, such as bot and abuse detection. There are no advertising or analytics cookies, so the site does not show a cookie consent banner.
  • Font requests. Pages load typefaces from Google Fonts, so Google receives your IP address and request details when a font file is fetched.

We do not run analytics, advertising pixels, session recording, or chat widgets. There is no account system, no login, and no advertising identifier. We do not build marketing profiles, and we do not buy personal information about you from data brokers.

We do not knowingly collect sensitive personal information as defined by California law — no government IDs, precise geolocation, financial account numbers, health data, or data about race, religion, sexual orientation, or union membership. Please do not put information like that in the form or in an email to us.

We do not use website data for automated decision-making or profiling. A person reads every application. We do not sell your personal information, and we do not share it with anyone for their own advertising.

If you are in the EEA or UK, our legal bases under the GDPR are:

  • Consent — the waitlist and application forms. You choose to submit them, and you can withdraw consent at any time by asking us to delete your record.
  • Legitimate interests — replying to your email or to a request sent through the labs form, keeping business records, and protecting the site from abuse.
  • Legal obligation — keeping records or responding when the law requires it.

Third-Party Processors & AI Tools

We use as few outside services as we can. The ones that can touch website data are:

  • Cloudflare — hosts the website, the form submission endpoint, the application database (Cloudflare D1), and the sample video files. Cloudflare processes request data and stores your application on our behalf.
  • Google Fonts — serves the typefaces used on the site. Google receives the IP address and request data described above. See Google’s privacy policy.
  • Our email provider — receives and stores messages sent to and from hello@gamingdatasets.com.

These companies act as our processors. They are not permitted to use what they process for their own marketing.

AI tools. We broker gameplay footage for AI training, but that is separate from this website. Nothing you submit through this site — not your name, email, Discord handle, form answers, or email content — is sent to an AI model provider such as OpenAI or Anthropic, used as training data, or used to fine-tune a model. If that ever changes, we will name the provider here and update the effective date before it starts.

Data Security & Retention

The site is served over HTTPS. Application records live in a database, exporting requires a secret token, and access is limited to the people who need it to review applicants and follow up. No system is perfectly secure, but we keep the amount of data we hold small on purpose, which is the most effective protection we can offer.

How long we keep things:

  • Application records — while we are considering you and for as long as we reasonably need them to run the player program, prevent duplicate signups, and keep a record of your consent. You can ask us to delete yours at any time; we will act on the request within 30 days.
  • Email — for as long as the conversation is active, plus ordinary business record-keeping.
  • Server logs and security data — for the short default periods set by our hosting provider, unless we need a specific record longer to investigate abuse.

User Rights

Whatever your location, you can email us to see what we hold about you, correct it, or have it deleted. We will ask you to send the request from the email address on the record so we can confirm it is you, and we will not treat you differently for asking.

If you are in the EEA or UK, the GDPR also gives you the right to:

  • Get a copy of your data in a portable format
  • Restrict or object to how we process it
  • Withdraw consent you previously gave
  • Complain to your local data protection authority

If you are in California, the CCPA/CPRA gives you the right to:

  • Know what we collect, why, and who we disclose it to — this page is that disclosure
  • Delete or correct your personal information
  • Opt out of the sale or sharing of personal information. We do not sell or share personal information, and we have not done so in the preceding 12 months, so there is nothing to opt out of and no “Do Not Sell” link
  • Limit the use of sensitive personal information. We do not collect any
  • Use an authorized agent to make a request on your behalf

We answer requests within 30 days (45 days for California requests, extendable once if we tell you why).

Children

You must be 18 or older to apply. This site is not directed at children, and we do not knowingly collect personal information from anyone under 18. If we learn that we have, we delete it.

International Transfers

We and our providers process data in the United States and other countries where Cloudflare operates. Those countries may have different data protection rules than where you live. Where transfers out of the EEA or UK require a safeguard, we rely on our providers’ Standard Contractual Clauses.

Changes

We update this policy when the site or our practices change. The effective date at the top changes when we do. Continued use of the site after an update means the revised policy applies to that use.
